KaryaFlow as a Zoho One alternative

Zoho One is the default all-in-one for Indian SMBs, and for good reason. This page sets out where KaryaFlow is genuinely different, where Zoho is genuinely ahead, and every figure's source. Checked 8 August 2026.

When Zoho One is the better buy

We would rather you read this than discover it after signing. Choose Zoho One if you need finance, inventory, or payroll modules today — KaryaFlow does not ship those. Choose it if nearly everyone on your payroll needs a licence anyway, because the all-employee rate is then genuinely hard to beat. And choose it if vendor maturity matters more to you than architecture: KaryaFlow was founded in 2026 and is in private preview, with no published customer base. Those are real reasons, and no comparison table changes them.

The licensing rule that decides the bill.

Zoho One has two pricing models, and the difference between them matters more than the headline rate. Under All Employee Pricing, Zoho's own FAQ states it “requires you to buy licenses for every employee in your company”. If you fall short, Zoho says it will “notify you to either purchase remaining licenses or switch to Flexible User Pricing”.

So the cheaper number is conditional. It applies when you cover everyone on payroll — including the people who will never open the software. The alternative, Flexible User Pricing, lets you licence only who needs it at US$90 per user per month with annual licensing.

That is the comparison that matters for a 40-person company where 15 people need the tool. KaryaFlow charges US$20 or US$99 per user per month and you licence those 15. Run your own numbers both ways before you take anyone's word for it, ours included.

On rupee pricing: we have deliberately not published INR figures for Zoho One. Their pricing page renders in USD for us, and the rupee numbers circulating online appear only on third-party sites. Ask Zoho for a current INR quote — and note that Indian invoices attract GST on top of the listed rate.

A bundle and a platform are not the same thing.

Zoho One is 45+ applications organised into 11 categories. That breadth is real, and it is the main reason to buy it — finance, inventory, payroll, legal, and IT management are all in the box. KaryaFlow does not match that surface area and will not pretend to.

The difference is what sits underneath. KaryaFlow was built on one shared data model: the customer record your sales team edits is the same row your support team and your AI agents read. There is no sync, because there is no second copy.

The question to put to any all-in-one vendor is simple: when two applications disagree about a customer, which one is right, and what reconciles them? Ask it of us too.

Both of us ship AI agents. Ask how they're governed.

Zoho markets Zia Agents as “purpose-built AI agents to support your specific business processes”. We are not going to tell you they don't have agents — they do, and anyone claiming otherwise is working from stale information.

The question that actually matters once an agent can write to your records is governance, and here the public documentation differs. Zoho's Zia page does not describe approval workflows, human-in-the-loop gates, or an audit log of AI actions. KaryaFlow logs every agent action to an immutable trail and lets you put approval gates on anything that changes data.

Absence from a marketing page is not proof of absence from a product. So make both vendors demonstrate it live: show me the log of what the agent did last week, and show me how I stop it doing something I haven't approved.

Common questions

Do you have to license every employee on Zoho One?
On Zoho One's All Employee Pricing plan, yes. Zoho's own pricing FAQ states it 'requires you to buy licenses for every employee in your company', and that if not all employees are licensed Zoho will ask you to either buy the remaining licenses or switch to Flexible User Pricing. Flexible User Pricing lets you license only the users who need it, at Zoho's published rate of US$90 per user per month with annual licensing. Figures checked 2026-08-08.
Is KaryaFlow cheaper than Zoho One?
It depends on how many of your people actually need the software. KaryaFlow is US$20 per user per month on Starter and US$99 on Growth, and you license only the users you want. Zoho One's flexible plan is US$90 per user per month; its cheaper all-employee rate requires covering everyone on payroll. If most of your headcount needs full access, Zoho's all-employee model can work out cheaper — we say so plainly on this page.
When is Zoho One the better choice?
If you need finance, inventory, and payroll modules today, if nearly all of your staff need licenses anyway, or if you want a vendor with a decade of track record and a large local partner network, Zoho One is the safer buy. KaryaFlow is in private preview and does not pretend otherwise.
Can KaryaFlow's AI agents be audited?
Every agent action in KaryaFlow is written to an immutable audit log, and actions that change data can be placed behind human approval gates. Zoho markets Zia Agents; its public Zia page does not document approval workflows or an audit log for AI actions. Ask both vendors to demonstrate this directly — it is the question that matters once agents can write to your records.
