KaryaFlow vs ServiceNow

Kirtesh Sharma7 min read

ServiceNow runs the IT departments of most of the Fortune 500. The platform is deep — incident management, change management, CMDB, HRSD, customer service, and a sprawling Now Platform of low-code app-building underneath. It is also famously expensive and slow to implement. A typical ServiceNow ITSM rollout is 6 to 18 months, requires certified administrators, and starts at six figures before any custom workflows ship.

Time to value

ServiceNow's depth is also its friction. Building a useful incident workflow often means configuring CMDB classes, business rules, client scripts, and ACLs. Customers routinely hire ServiceNow partners for projects that would take an afternoon in a more modern tool.

KaryaFlow's IT orchestration ships with pre-built workflows for the 30 most common IT operations — provisioning, offboarding, incident triage, asset lifecycle, vendor renewals, access reviews. Most teams go live in 1 to 2 weeks without hiring a single consultant.

AI agents across IT and operations

ServiceNow's Now Assist and AI Agent Studio are capable and tightly integrated with the platform. They shine inside ServiceNow-shaped workflows. They do less well when the workflow needs to span ServiceNow, Slack, Workday, Jira, and AWS — which is most modern IT operations.

KaryaFlow agents operate across all of those systems natively. When a threshold breaches in Datadog, the agent opens a Jira ticket, pages the on-call engineer in Slack, queries the customer's AWS context, and posts a status update to the change advisory board — without you building a single iPaas workflow.

Total cost of ownership

We previously published year-one licence and three-year TCO figures for a mid-market ServiceNow deployment. They have been removed. ServiceNow does not publish list pricing, which is precisely why those numbers should never have carried the confidence they did.

ServiceNow is quoted, not listed, so the only reliable number is the one on your own quote. What is safe to say is that it is an enterprise ITSM platform sold with implementation partners, and that the implementation is a material share of year one. If you are a company of 10 to 200 people, you are almost certainly not its buyer — and neither of us should be pretending this is a close comparison.

When ServiceNow is still the right answer

If you're a 10,000-person org running deeply customized ServiceNow across IT, HR, customer service, and integrated risk, the cost of ripping it out is enormous. ServiceNow's compliance certifications and audit-ready CMDB are also mature in a way most newer platforms aren't.

When KaryaFlow is the right answer

If your team is 50 to 2,000 people, frustrated by ServiceNow's implementation timelines, and wants AI agents that orchestrate across your existing stack rather than replacing it — KaryaFlow gives you the orchestration layer in weeks.
