Vendors love the word "unified." Salesforce, HubSpot, Microsoft Dynamics, Oracle, SAP — every enterprise CRM on the market claims to be a unified platform. Buyers can't tell the difference from the marketing site. They can, however, tell from how the product behaves in production. The difference between a real unified platform and a bolted-together monolith shows up in five places.
1. Object identity across modules
In a real unified platform, the contact record a marketer emails is the same record a support rep updates is the same record an AI agent reads. The system has one object identity.
In a monolith, contact identity is per-module. Salesforce's Marketing Cloud has its own Subscriber object that is loosely synchronized with Sales Cloud's Contact. They drift. Marketing sends to a "subscriber" that was unsubscribed in Sales four months ago. Support opens a case against a "contact" that marketing already deleted as a hard bounce.
2. Permission model
In a real unified platform, RBAC is one tree. Permissions cascade the same way in every module, governed by the same admin UI, and logged in the same audit trail.
In a monolith, every acquired module ships its own ACL system. Marketers have Marketing Cloud permission sets. Sellers have Sales Cloud profiles. Service Cloud has its own assignment rules. When a permission change is requested, three admins touch three systems. When an agent acts across modules, three audit logs record three different permission decisions.
3. Workflow execution
In a real unified platform, a workflow is a first-class object that can read from and write to any module. The same workflow that creates a Sales account can update the contact and notify the support team.
In a monolith, workflows are module-local. The integration between Salesforce's Flow Builder and Service Cloud's Flow Designer is itself a workflow that runs in a different engine. When a record changes across modules, the cross-module orchestration lives in the platform's iPaaS, not in the underlying model.
4. The AI agent boundary
In a real unified platform, the AI agent sees one record. Its memory is consistent with every team's view. Its audit trail matches the human teams'. Its permissions match the user who created it.
In a monolith, the AI agent sees a Salesforce-shaped slice of the business. Marketing Cloud's Einstein behaves differently from Sales Cloud's Einstein behaves differently from Service Cloud's Einstein. Each has its own memory, its own permission model, and its own audit trail. The agent that "helps the customer" is really a federation of three agents that share a brand and nothing else.
5. Migration cost
In a real unified platform, you onboard by creating records. A 10,000-record import takes minutes because the data model is narrow.
In a monolith, you onboard by reconciling five data models. A 10,000-record import is a multi-week professional services engagement that requires defining the canonical object and writing the dedup logic and resolving field-level conflicts across modules.
How to evaluate claims of "unified"
Ask the vendor five questions. Their answers will tell you whether they ship a platform or an aggregation:
- Show me one contact record and tell me which modules are reading it.
- Show me your permission tree across modules. Is it one tree or several?
- Show me a workflow that crosses modules without an iPaaS in the middle.
- Show me your AI agent's audit log and your human users' audit log. Are they the same log?
- How long does a 10,000-record import take, and what does it touch?
Vendors who built one platform from the start answer these in five minutes. Vendors that bolted five products together answer with caveats.
The same five tests apply to bundles
Everything above is usually aimed at the big enterprise CRMs, but the question matters just as much at the other end of the market — arguably more, because a small team has nobody whose job is reconciling the systems.
